Delete your account and data
How to ask us to close your SchooWare account, and what happens to your data.
Last updated 17 September 2026 · Effective 17 September 2026
The short version
- Ask your school, or email hi@schooware.com with the school name and your account email or phone.
- Your login is switched off and contact details removed where the school need not keep them.
- Required records — results, invoices, payments and the audit trail — are kept.
- Wallet money is paid out first. We aim to respond within 30 days.
How to request deletion
Accounts on SchooWare are created by schools. You can request deletion of your account and data in either of these ways:
- Ask your school — the school controls its data and can act on your request.
- Email us at hi@schooware.com with the school name and the account email or phone number. We will pass the request to the school or act on it.
We aim to respond within 30 days.
What is switched off and removed
When we action a deletion request:
- The login is switched off, so the account can no longer be used to sign in.
- Contact details are removed where the school does not need to keep them.
What is kept
Some records must be kept for as long as the school or the law requires. Deleting an account does not remove:
- academic results and report cards;
- invoices and payment records;
- the audit trail (who changed what, when and from where).
Backups roll off after 7 days as part of the normal backup cycle.
Money in a wallet
If the account has a wallet with money in it, the balance is paid out before the account closes.
